Energy Assistance Program Crystal Reports

From this page you can download the Crystal Reports for the EAP software.  These reports have been created by various CAA  Agencies.  Follow the instructions below to download the report.  After downloading the report, you will need to open the report and change the database location to point to your EAP installation dbfs directory.

After downloading the file, you will need to execute it to extract the RPT file.

 

Claim Report for TANF Agencies

This is the report that Tom Scott is requesting some TANF agencies run.  This report reflects not only TANF dollars, but all Crisis and Regular claims by county.  If Tom Scott has requested you do so, download the above link, run it to extract the report (it will by default save the report directly on the C:\ drive, but you can change the destination to save the report wherever you want), then open Crystal and open the report.  Refresh to see the data.  To export the information to an excel spreadsheet, go to File - Export and change the Format to "MS Excel 97-2000 (Data Only)" and the Destination to "Application".  Click OK to that window and the next.  The excel spreadsheet will appear.  Save it and email it if asked to do so.

Regulated Breakdown

This report will give you a total by vendor grouped by regulated/non regulated vendors. You need to set the values for the application date when running the report.

This report can be used to fulfill the request by Tom Scott dated 7/1/2004 to display the total number of applications with a heating claim for Vectren or Citizens Gas by matrix points.

EE Survey Reports

These two reports can be used to report all clients who received EE last year and either did or did not return their survey.

Claims Troubleshooting Report

This report contains funding source and claim type information and can be used to troubleshoot when the Weekly Call In report or the Quarterly Report don't seem to be reflecting proper data.  It breaks down claims by funding source and type, and lists the claim amount and claim date.

Applicants By County

This report was requested by EAP agencies - it is similar to the County Claims Report but lists applications instead of claim dollars.

Electric Clients

This report lists all clients who have received Electric claims.  It includes their address information, and is grouped by zip code.  This report was also requested by EAP agencies.

Summer Fill Participants

This report lists all clients who have received Summer Fill.  It includes their address information and is sorted by last name.  This information can be exported to an excel spreadsheet and mail-merged into a Word document.

Advanced Training Class Samples

These reports were designed during the Crystal Advanced Training class at INCAA.  These reports were done with Crystal Reports version 9.  They are not polished reports, but are good starting points for your own reports and have many concepts in them that you can apply.  They include sub-reports, self-joins, specialized formatting, and graphs.
 

Similar Duplicate Address

This report is one that will be taught in the Crystal Reports Advanced class this month.  This report shows you applications with similar address in the same year.
 

Other Bulk Fuel Clients 2003

This report will help you to identify clients who may qualify for the 2003 Additional Benefit (dated March 18, 2003) and do not have a primary heating source of 'Electric', 'Natural Gas', or 'LP Gas'.  The original automatic utility will not identify clients who use wood, oil, coal, or kerosene.
 

Bulk Fuel Household Labels

This report is different from the bulk fuel labels in the EAP reports in that it pulls the clients by the fuel type of LP rather than pulling based on the claims and the vendor.  This is a work around for the issue of the clients who have received bulk fuel in the prior summer and therefore do not have a winter bulk fuel claim.

If you wish to submit a report to share with other CAA's, please email the report (rpt file) along with the CAA name, the name of the person who created the report, and a description of the report to kristen@roeing.com.

 

Crystal Reports Visual FoxPro ODBC

 

If you need to install the Visual FoxPro ODBC drivers for use with Crystal Reports, they can be downloaded from Microsoft's web site.
